Appointment Setting Services Pricing: Models and Rates

Josh Pocock

7 min read

Appointment setting services pricing comes in a few standard shapes: a monthly retainer, a price per booked appointment, a mix of the two, or an hourly rate for a setter. Owners comparing them also weigh hiring their own setter or running an AI appointment setter.

Appointment setting services usually cost $2,000 to $10,000 a month on a retainer, or about $50 to $600 per booked appointment on a pay-per-appointment plan. Hybrid plans combine a smaller base with a per-meeting fee. Compare them by cost per appointment that actually shows up.

The ranges above come from 2025 and 2026 buyer guides by Intelemark, SalesBread and Cleverly. Most published pricing is for B2B cold outreach. If your leads come to you from ads, forms and calls, the job is different, and so is the price. Both cases are covered below.

The four pricing models

Monthly retainer

You pay a fixed monthly fee for a team or program, whatever it books. Intelemark puts retainers at roughly 3,000 to 10,000 a month (December 2025). SalesBread lists retainers at $2,000 to $5,000 and subscription plans at $2,000 to $4,500 a month.

A retainer suits steady, high volume. You carry the risk: a slow month costs the same as a good one. Ask for a target number of appointments, and what happens if the team misses it.

Pay per appointment

You pay only for meetings that land on your calendar. Published rates vary widely because "appointment" means different things to different vendors.

  • Intelemark: often $50 to $300 per meeting scheduled.
  • SalesBread: $75 to $500 per scheduled meeting, and $50 to $250 per qualified lead.
  • Cleverly (June 2026): roughly $150 to $600 for mainstream B2B, with held-meeting benchmarks of $150 to $400 for SMB and mid-market, $400 to $700 for VP-level buyers, and $700 to $1,000+ for enterprise and C-suite.

Cleverly also flags per-appointment pricing below $100 as a red flag. The vendor carries more risk here, so the unit price is higher, and the contract terms matter more than the headline number.

Hybrid: base fee plus per appointment

A smaller retainer covers the fixed work and a per-meeting fee rewards results. Cleverly gives a typical structure of a $2,000 to $4,000 base plus $150 to $400 per meeting. Hybrids split the risk, which tends to keep both sides honest about lead quality.

Hourly or salaried setters

You pay for time, not results. SalesBread cites a US average of $16.12 an hour from PayScale, and Intelemark lists 25 to 50 an hour for startup programs. You also carry management, training, software and turnover. We cover setter pay plans in how much to pay an appointment setter.

What drives the price up or down

  • Who you are trying to reach. A homeowner who filled out your form is far easier to book than a CFO who has never heard of you. Cold B2B outreach is where the $400+ meeting prices come from.
  • How "qualified" is defined. Job title, budget, location, timeline and must-ask questions. The tighter the criteria, the higher the price per meeting.
  • Scheduled vs held. Paying per held meeting costs more per unit than paying per scheduled meeting, because the vendor absorbs no-shows.
  • Channels. Phone only, SMS, email, LinkedIn, or all of them.
  • Setup. List building, scripts, CRM and calendar connections. Some vendors charge it up front, some fold it into the first months.
  • Contract length. Longer terms usually lower the monthly price and raise your exit cost.

Contract terms that matter more than the price

The same $200 appointment can be a fair deal or a bad one depending on these clauses.

  1. Written qualification criteria. Cleverly recommends agreeing on criteria and specific disqualifiers before outreach starts.
  2. Replacement for bad meetings. If a meeting fails the criteria, you should get a credit or a replacement.
  3. No-show policy. Under pay per scheduled, you absorb no-shows. Under pay per held, the vendor does. Cleverly treats a no-show rate above 20% to 25% as a red flag.
  4. Who owns the data. Call recordings, notes and contact lists should stay with you.
  5. Consent. Anyone calling or texting on your behalf should only contact people who agreed to hear from you. Ask how consent is captured and stored.

Inbound appointment setting for service businesses

Most of the prices above are for cold B2B outreach: finding a buyer and talking them into a meeting. A local or service business usually has a different problem. Leads already come in from ads, forms, calls and DMs, and the gap is answering them fast enough and following up until they book.

That work is cheaper per appointment, because the lead already raised their hand. It is also more time-sensitive. A lead who waits an hour is often gone, which is why speed to lead matters more than script polish here. When you compare services for inbound work, ask:

  • How fast does the first call or text go out, including nights and weekends?
  • How many follow-up attempts happen before a lead is marked dead?
  • Who sends reminders and rebooks no-shows?
  • Does everything log into your CRM, or into theirs?

Where AI appointment setters fit

An AI appointment setter is a voice or SMS agent that replies to opted-in leads, asks your qualifying questions and books them onto your calendar. It changes the pricing shape: you pay for software usage, setup and tuning instead of setter hours or per-meeting fees, and the agent answers any hour of the day.

There are two ways to buy it. If you want the software and will build and run it yourself, StrideOps, our sister platform at strideops.ai, is the software option. If you want it built and run for you, that is a done-for-you service. We break down the line items in AI appointment setter cost and compare the options in AI appointment setter vs human appointment setter and in-house vs outsourced appointment setting.

The math: cost per appointment that shows

Monthly invoices are hard to compare across models. Convert every option to one number:

Cost per held appointment = total monthly cost / appointments that showed up

Hypothetical example, round numbers, not client data:

RetainerPay per appointmentHybrid
Monthly cost$4,00025 x $200 = $5,000$2,500 + 25 x $100 = $5,000
Booked252525
Showed (70%)17.517.517.5
Cost per held appointment$229$286$286

At 25 appointments a month the retainer wins. At 10 appointments, the retainer would cost $571 per held appointment while pay per appointment stays at $286. Volume decides which model is cheaper, so run your own numbers. Our cost per booked appointment guide has the full method.

What Executive Stride does

Executive Stride runs done-for-you AI appointment setters for service businesses with inbound leads. AI agents call or text every opted-in lead within seconds, qualify them on your script, book them onto your calendar, send reminders and keep following up with leads who did not answer the first time. We have worked with 400+ clients. We scope pricing on a call based on lead volume, channels and integrations, rather than publishing a rate card.

FAQ

How much do appointment setting services cost?

Published 2025 and 2026 guides put retainers at about $2,000 to $10,000 a month and pay-per-appointment plans at about $50 to $600 per meeting, with enterprise meetings higher. See SalesBread and Cleverly.

What is pay per appointment pricing?

You pay a set fee for each booked appointment instead of a monthly retainer. Check whether the fee is per scheduled or per held meeting, and what counts as qualified.

How much should you pay an appointment setter?

It depends on whether you pay a wage, a per-appointment bonus or commission. Our guide on how much to pay an appointment setter compares each structure.

What is a good appointment setting rate?

Track the share of leads that book and the share of bookings that show. On show rate, Cleverly treats no-shows above 20% to 25% as a red flag.

Is pay per appointment worth it?

It is worth it at low or uneven volume, because you pay only for results. At steady high volume, a retainer or an AI setter often costs less per held appointment.

Book a Stride Scaling Call

If your leads come in but too few book, book a Stride Scaling Call. We will look at how fast your leads get a reply today and what that costs you per appointment.
