The 5 Step Flow for Booking Appointments Over the Phone
Josh Pocock
2 min read
Most booking calls fail because the rep waits for the prospect to lead. In this video Josh walks through the five step framework his team built for a client's remote call center, the same one they use to train their own reps on cold and warm calls.
The goal of the call is not to sell. It is to qualify quickly and put a confirmed appointment on the closer's calendar.
Key takeaways
- Five steps, one straight line. Introduce and take control, ask qualifying questions, tell them they pre-qualify, book the appointment while assuming the sale, then recap and close. Any objection gets answered from a prepared FAQ sheet, then you loop straight back to the step you were on.
- Open the questions with an easy yes. Ask something they will almost certainly agree to, such as whether their business could handle more qualified leads on the calendar. That small agreement makes the rest of the questions feel natural.
- Keep qualifying shallow. On a cold call you are collecting bullet point answers for the closer, not running discovery. Log them in the CRM so the sales call starts from where they are.
- Offer specific slots this week. Give two days and two times instead of asking "when works for you." Booking soon keeps them from cooling off while competitors keep calling.
- Cement the time out loud. Recap the day and time, ask them to confirm they can make it, and get a verbal yes. Then the show up sequence by email and text takes over.
- Cold calling should not be the founder's job. Josh recommends training reps to run it at scale, alongside other outbound channels, because phones are a channel platforms cannot shut off.
Apply it to your business
Write your booking script around these five steps and build a one page objection sheet your team can loop from. Make sure every booked call triggers a confirmation and reminder sequence the moment it lands in the calendar. If you would rather not hire and train a team for the first two steps, an AI setter can handle the qualify and book part of the flow and hand the closer a clean calendar.
