Missed Call Text Back: Setup, Scripts and Rules

Josh Pocock

7 min read

Missed call text back is an automation in your phone system or CRM that texts a caller right after a call goes unanswered. It matters most for service businesses where the owner is on a roof, under a sink or with a client when the phone rings.

Missed call text back is an automatic text sent within seconds of an unanswered call, inviting the caller to reply by text. Done well, it turns a voicemail into a conversation and keeps the caller from dialing the next business on their list.

Here is how it works, the texting rules to respect, five scripts by industry and the numbers to watch once it is live.

How missed call text back works

The setup has four parts, and most CRMs and business phone systems support all of them.

  1. A business phone number that can send texts. Your main line or tracking numbers need to be text-enabled through your phone provider or CRM.
  2. A trigger on unanswered calls. When a call rings out, goes to voicemail or is declined, the system fires the workflow.
  3. A short delay and a filter. Wait 10 to 30 seconds so you don't text someone you are calling back already. Skip numbers on your internal list (staff, vendors, existing open jobs if you prefer a call).
  4. A text that asks a question. The text acknowledges the missed call and asks what the caller needs. The reply goes into the same conversation thread in your CRM.

Test it from a personal phone before you go live. Call, let it ring out, and time how long the text takes to arrive.

The automation only moves the caller along the bottom path. If nobody answers the reply, that path rejoins the top one, which is why the text back is worth less than the person or agent watching the thread.

When it's allowed, and the rules that still apply

The caller contacted you first, which is why a single text about their call is something most callers expect. That text is a reply to their inquiry. It does not give you permission to add them to a marketing list.

Keep these rules in place:

Register your texting number

Business texting from a standard 10-digit number in the US runs through A2P 10DLC registration with the carriers. Unregistered traffic can be filtered or blocked, so your text back may never arrive. Our guide to A2P 10DLC registration covers the brand and campaign steps.

Make opting out easy and honor it

The FCC's February 2024 order on consent revocation (FCC 24-24) lists "stop," "quit," "end," "revoke," "opt out," "cancel" and "unsubscribe" as reply words that revoke consent, and it says revocation requests must be honored within a reasonable time, no more than 10 business days. Build your system to stop texting the moment someone sends one of those words, and treat other clear "don't text me" replies the same way.

Keep it to the call

The text back should be about what the caller called for. If you later want to send promotions, get separate consent for that, in line with your SMS terms.

Watch quiet hours

Calls come in late. A text sent within a minute of a 9:45 p.m. call is responsive. A follow-up sequence that pings someone at 6 a.m. is not. Set send windows for anything after the first text.

This is general information, not legal advice. Confirm your setup with your own counsel or compliance team, especially in regulated industries.

Five missed call text back scripts by industry

Replace the bracketed fields and read each one out loud before you use it. Every script ends with a question, because a statement gives the caller nothing to answer.

Roofing

Hi, this is [Name] with [Company]. Sorry we missed your call, we're likely up on a roof. Are you calling about storm damage, a leak or something else?

If they reply with damage, ask whether they own the home and book the inspection. Our roofing storm lead follow-up has the full flow.

HVAC and plumbing

Hi, this is [Company]. Sorry we missed you. Is this an emergency (no heat, no AC, active leak) or something we can schedule? Reply here and we'll get you sorted.

Route "emergency" replies to your on-call tech right away. After-hours calls are where this script earns its keep.

Med spa or clinic

Hi, thanks for calling [Business]. We're with a client right now. Are you looking to book a treatment, or do you have a question we can answer by text?

Keep medical questions out of text. The script books the consult and leaves treatment advice to the provider.

Real estate

Hi, this is [Agent] with [Brokerage]. Sorry I missed your call, I'm likely at a showing. Are you calling about a specific property, or thinking about buying or selling?

If they name a listing, reply with a showing time or ask which day works.

Insurance or mortgage

Hi, this is [Name] with [Agency]. Sorry we missed your call. What can we help with today? We can set a time for a licensed [agent or loan officer] to call you back.

In regulated work, the text books a callback with a licensed person. It does not discuss rates, coverage or approval.

What to do when they reply

The text back only works if someone answers the reply fast. A caller who texts back "yes, leak in the kitchen" and hears nothing for two hours is as lost as if you had never texted.

You have two options:

Staff the inbox. Someone on your team watches the CRM thread and replies within a minute during business hours. This works when call volume is low and someone is always at a desk.

Let an AI agent continue the conversation. An AI appointment setter picks up the reply, asks one qualifying question at a time and books the appointment into your calendar. It hands off to a human when the caller asks for a person or asks something outside its knowledge base.

Our done-for-you AI appointment setters run on StrideOps, where agents respond in under 2 seconds. Before any agent goes live, we test it in simulated conversations, including callers who text STOP halfway through.

A good reply flow looks like this:

  1. Acknowledge what they said in a few words.
  2. Ask the next qualifying question (address, timeline, type of service).
  3. Offer two specific times.
  4. Confirm the booking and send a reminder before the appointment.

Metrics to track

Watch these weekly for the first two months. Pull them from your phone system and CRM.

MetricFormulaWhat it tells you
Missed call rateMissed calls ÷ total inbound callsHow often you can't answer, by hour
Text back coverageText backs sent ÷ missed callsWhether the automation fires every time
Time to textMedian seconds from missed call to textWhether delays crept in
Reply rateCallers who replied ÷ text backs sentWhether your script invites an answer
Booking rateAppointments booked ÷ text backs sentThe number tied to revenue
Opt-out rateSTOP replies ÷ text backs sentWhether the message feels unwelcome

If reply rate is low, test a different first question. If reply rate is fine and booking rate is low, the problem is the speed or quality of the conversation after the reply.

Look at missed calls by hour, too. If most land after 5 p.m. or on weekends, that is a staffing gap, and it is the case for adding an AI agent for home services and other trades that can't answer from a job site.

FAQ

A single text replying to someone who just called you is common practice, but you still need a registered texting number and working opt-out handling. Rules vary, so confirm your setup with your own counsel.

How fast should a missed call text back go out?

Within a minute. A short delay of 10 to 30 seconds avoids texting someone your team is already calling back, and anything past a few minutes gives the caller time to try a competitor.

What should a missed call text say?

Say who you are, apologize briefly for missing the call and ask one question about what they need. Skip links and long explanations in the first text.

Can an AI respond to missed calls?

Yes. An AI agent can send the text back, carry on the conversation when the caller replies and book an appointment, handing off to a person when asked or when a question is outside its knowledge base.
